GAP Group has selected CheckedOK, CoreRFID’s inspection management platform, to run its Test, Inspect and Certify division. The TIC operation covers LOLER, PUWER and PPE inspections, load testing, servicing and installations across GAP’s nearly 200 UK depots.

Before the implementation, the TIC team ran a different inspection platform alongside a manual workflow that had become unmanageable. Enquiries went into Excel, jobs were tracked through Outlook, and risk assessments, method statements and contracts were attached by hand. With 17 engineers completing 100,000 inspections a year, the calendar was doing work it was never built for.

In the field, paper timesheets were scanned back to the TIC office and manually re-entered centrally. Every job touched the data multiple times. Performance was degrading under volume; frozen screens, records that were slow to locate, and KPI reports for major accounts compiled manually each time they were requested. When issues arose with the previous platform, support response was slow. Engineers had reverted to paper.

GAP Group ran a formal tender. CoreRFID’s CheckedOK was selected to replace both the inspection platform and the administrative layer around it.

Enquiries now go directly into CheckedOK. Jobs move from quotation through scheduling and engineer assignment without leaving the system. A digital pre-visit booking form — covering site access, contacts, PO number and PPE requirements — is completed by the TIC office and read by the engineer on their tablet before departure. Inspections are completed on mobile forms built per asset type. Data uploads automatically, client sign-off is captured on completion, and it links directly to the timesheet. KPI dashboards for major accounts come from data captured in the normal workflow, with no separate compilation.

The TIC implementation was the start of a broader relationship. GAP Group’s Survey & Safety division has since adopted a CoreRFID-built system, and work is underway to bring GAP Hoist Services onto the platform. The longer-term plan integrates the CoreRFID-powered systems with GAP Connect, the GAP Group’s internal platform through which customers manage hire and service agreements, giving both sides a unified operational view. For a business operating at GAP Group’s scale, that consolidation represents a meaningful shift in how compliance data flows across the organisation.
